Four steps

How to use the job search templates

  1. 1

    Start with the resume outline

Get the structure right on paper before opening a word processor.

  2. 2

    Write results, not duties

The last column asks what changed because of you.

  3. 3

    Plan the cover letter

Four blocks: the job, your best example, their need, the next step.

  4. 4

    Track what you send

Fill in the follow-up date at the same time as the application date.

  5. 5

Write up interviews the same hour

Your impression is worth most while it is fresh.

Structure before formatting

The most common way a resume goes wrong is that it is written in a word processor from the first sentence. Formatting is immediately available and structure is not, so people spend an hour on typography and produce a well-set document that never says what they achieved.

Filling the sections in by hand inverts that. The gaps show up as blank lines, which is exactly when they are cheapest to fix.

Results, not duties

Instead ofWrite
Responsible for returnsCut returns by a fifth in a year
Managed social mediaGrew the list from 400 to 3,000
Handled customer queriesCleared a 600 ticket backlog in six weeks
Involved in hiringHired and trained four people, all still there

The left column could be written by anyone who held the job. The right column could only be written by you, which is the entire point of the document.

The follow-up column

Applications rarely get refused. They go quiet. Somebody is on leave, a role is paused, a hiring manager is deciding something else first. The single most useful habit in a long job search is writing the follow-up date at the same moment as the application date, and then honouring it.

Frequently asked questions

Because a bad resume is usually a structure problem rather than a wording problem, and a word processor hides structure behind formatting. Filling the sections in by hand makes the gaps obvious while they are still cheap to fix, and it stops you spending an hour on fonts before deciding what the document is for.

The last column asks what changed because of you, not what you were responsible for. That is the difference between a resume that is read and one that is skimmed. Cut returns by a fifth is information; responsible for returns is a job description anybody in that seat could have written.

Because it is the column that moves things. A job search runs for months, and applications mostly go quiet rather than being refused. A date in that column is the difference between following up and meaning to.

Choosing three examples in advance. Most interview answers are worse than the candidate deserves because the example was picked live, under pressure, from everything they have ever done. Three chosen beforehand, with the result written down, fixes most of that.

Because within a few weeks several processes blur together, and your own impression written within the hour is worth more than anything you will reconstruct later. It also matters when you are choosing between offers.

No. You print the sheets and fill them in by hand. Only your layout settings are kept, on your own device.
